Procure‑to‑Pay
The purchasing cycle, from need to payment — matched three ways before you pay.
- Raise the need (Purchase) — a requisition, a replenishment suggestion, or a "procure" allocation from a sales order.
- Purchase Order (Purchase) — issue the PO with vendor rates and terms; approve it (which seeds the receipt) and send to vendor.
- Goods Receipt (GRN) (Purchase) — receive and inspect. This creates a FIFO batch, posts the Inventory Receipt voucher, creates a putaway task, and auto‑drafts a return for any defective quantity.
- Supplier Bill (Finance) — record the vendor invoice; the Purchase voucher posts with Input GST / ITC, and duplicate invoices are blocked.
- Three‑way match — PO ↔ GRN ↔ Bill are reconciled; short supply is flagged; TDS (194Q) is applied per the party's policy.
- GSTR‑2A/2B reconciliation (Finance) — match ITC against the portal.
- Payment (Finance) — pay the vendor and allocate the payment bill‑wise.
- Returns (if any) — a purchase return / debit note reverses stock and ITC.
